Keeping it Safe and Legal
It’s important to make sure your Vitalise event is safe as well as fun. As the organiser of the event it’s your responsibility to make sure that any rules and regulations are followed and everybody is safe.
We have put together the following list of important things to consider before, during and after your event. If you have any queries you can email the Events team, or call us on 0845 345 1972 – we are always happy to offer support and advice.
Safety
- Events should abide by the Health and Safety at Work Act 1974.
- If you are using equipment provided by outside companies use a reputable company and make sure they have any necessary insurance cover.
- Don’t forget First Aid! You can contact your local branch of St John’s Ambulance and they will be able to advise you.
- We recommend you contact your local fire station for advice on fire safety.
Risk assessment
We recommend you carry out a risk assessment before your event. It’s easy to do and means you’ll be prepared. There’s useful advice on risk assessment in the Health and Safety Executive leaflet Five Steps to Risk Assessment.
Rules and regulations
- Ask your local council for advice – they will be able to let you know if there are any special rules you need to abide by.
- If your event will be in a public place then you should inform the local police and ask them for advice.
- If you are holding a fundraising event you must state clearly in any publicity who is responsible for running the event, and that you will donate the proceeds of the event (less any costs) to Vitalise.
Locations and licences
- Remember that collecting money or selling in a public place requires local authority permission so make sure you contact your local authority well in advance of your planned event.
- If you are planning to conduct door-to-door collections you must be licenced to do so. Contact us if you need more information on this.
- Please check with Vitalise if you are planning to hold a raffle or lottery as depending on circumstances a licence may have to be acquired.
- If you are considering hiring a venue for your event please contact us first.
Money matters
- Make sure children don't ask for or collect money alone. An adult should be with anyone under the age of 16.
- If your event means that you will have lots of money in one place then make sure it’s secure (try a lockable cash box) and that someone takes overall responsibility for it.
- If you are carrying a lot of money on your person be careful to carry it securely and be aware of your personal safety.
- At the end of your event or sponsored challenge, don’t forget to count the money raised in the presence of a witness.
- Pay in the funds you have raised to Vitalise as soon as possible.
